Rentals and Refund Policy
Terms & Conditions – Tandem Sound Pros

These Terms & Conditions govern all rentals and services provided by Tandem Sound Pros (“we,” “our,” or “us”). By renting equipment or booking services with us, you agree to the following:
Booking & Payment
• A 33% down payment is required at the time of booking to secure your date.
• The remaining balance is due no later than 14 days before the event.
• Our minimum rental period is one calendar day. Multi-day rentals can be arranged by request.
Cancellations & Refunds
• Down payments are refundable if cancellation occurs more than 30 days before the event.
• If cancellation occurs within 30 days of the event, the down payment is non-refundable, as we reserve equipment and block off the date specifically for you.
• Refunds will only be issued in the unlikely event that our equipment malfunctions due to no fault of the client.
• Refunds will not be issued for weather, acts of nature, or cancellations beyond our control.
Rescheduling
• Events may be rescheduled at no additional cost if notice is given 30 or more days in advance, subject to our availability on the new date.
• If a reschedule is requested within 30 days of the event, it will be treated as a cancellation and a new booking (with a new down payment) will be required.
Event Day Expectations & Labor
• Our team will arrive approximately 1-2 hours before the event (unless more time is needed) for setup.
• Please ensure the event space is accessible, with available parking/loading and adequate power.
• If staff are scheduled for extended events, the client is responsible for providing reasonable meal and break times (a 30-minute meal break for events exceeding 5 hours, or a 1-hour dinner break for events exceeding 10 hours).
• Additional setup time, equipment needs, or troubleshooting beyond the agreed package may result in additional charges.
Liability & Equipment Responsibility
• Tandem Sound Pros staff will handle all delivery, setup, and teardown unless otherwise agreed.
• Clients and guests should not tamper with the equipment. The client is financially responsible for any damage, loss, or theft of equipment resulting from misuse or negligence during the event.
• Any costs related to repair, replacement, or lost rental time due to damaged equipment may be billed to the client.
Parking & Venue Costs
• Clients are responsible for covering any parking fees, permits, or venue-imposed costs (such as rigging, power fees, or security requirements) that apply to Tandem Sound Pros staff and equipment.
Insurance
• At this time, Tandem Sound Pros does not carry event liability insurance. Clients and venues are encouraged to confirm their own insurance coverage if required by the event space.
Communication
• We encourage open communication leading up to your event. Please share any special requests, venue requirements, or changes as early as possible so we can prepare accordingly.
